How to Create a Location in ON!Track

Understanding Locations in ON!Track

Locations in ON!Track are places where assets are stored or used. There are three types of locations you can create:

  • Location Group: Used to group multiple locations or build a hierarchy, which is helpful for reporting, such as Asset Cost Reporting.
  • Warehouse: Typically, where assets are stored when not in use or for production lines.
  • Jobsite: Locations where assets are actively used on jobs.

Explore the benefits of the location listed below:

  • Supports the establishment of an efficient organizational structure (location group, warehouse and job sites) within the organization.
  • Allows for accurate tracking of job sites in various stages, including preparation or closure for accounting purposes.
  • Facilitates the organization and reflection of warehouses or job sites and their respective locations.
  • Determines where assets and quantity items can be transferred within the system.

Let's walk through creating a new location, specifically a warehouse, which we will later use with our newly created employee to set up a new asset.

 

Creating a New Location

To begin, go to the "Locations" tab where you can see all existing locations and start the creation process by clicking the "+" icon.

General Information

Just like with creating employees, some fields marked with a red asterisk are mandatory. Here are the fields you need to fill out:

  • Location Type: Choose whether this location is a warehouse, a jobsite, or a location group. Note that assets cannot be assigned to Location Groups.
  • Name: Enter the name of the warehouse or jobsite.
  • Location State: Set the state to "Active" for current locations. You can set old or new locations to "Inactive" if they shouldn’t be used yet.
  • Description: Add any additional details about the location.
  • Label as: Assign labels to make the location easier to find and report on.

 

Contact and Identification Details

Every location needs a Location Manager to ensure accountability. You can also add other details like Location ID, Cost Centre, and scan code. The scan code is helpful for asset transfers, while the other fields aid in reporting.

 

Address Information

Input the address of the location, which ON!Track will use for geolocation. This step is straightforward, and you'll see a map pinpointing the location.

Once this information is filled out, click "Next."

 

Location Hierarchy

If your new location is part of a group or a larger hierarchy, you can define that here. For example, large warehouses can be divided into smaller sections. Simply select the node you want to assign the new location to and click "Next."

 

Location Created

Your new location is now created and available for use. With both an employee and a location set up, you now have the basic requirements for adding your assets.
