Overview

ON!Track Inventory makes managing and verifying your tools in warehouses, containers, vehicles, or other storage locations straightforward and accurate. It compares what should be at a location with what is there.

Inventory Classifications

When you check your inventory, tools are sorted into four categories:

  1. Expected: Tools that should be at the location.
  2. Found: Tools that are there.
  3. Not Found: Tools that should be there but aren’t.
  4. Unexpected: Tools that are there but shouldn’t be.

Types of Inventory Checks

ON!Track supports two types of inventory checks:

  1. Local Inventory: Use the ON!Track mobile app to manually check assets.
  2. Smart Inventory: Use stationary gateways in places like warehouses, job sites, containers, Vehicle Gateways, and Telematic gateways to automatically scan and report on Bluetooth-enabled tools.

Local Inventory

Overview

Local Inventory allows you to perform inventory checks using the ON!Track mobile app. This feature is designed for users to walk around a location and manually verify the presence of assets.

How It Works

To get started, begin an inventory check on your mobile app. The app allows both bluetooth scanning and manually scanning or entering the tool details. As you the tools are marked (as stated above - LE scan or manual), the assets are automatically classified into

  • Not Found (expected but not seen)
  • Found (physically present)
  • Unexpected (found but not expected)

If you need to take a break, you can pause and resume the inventory check. Once done, you can share the inventory results via email in PDF or Excel format.

User Needs

Accurate inventory tracking is essential. You'll know what assets are present, missing, or unexpectedly found at a location. Reporting is straightforward, allowing you to generate and share reports with relevant stakeholders easily. Plus, you get near real-time updates on the status and location of your assets.

Local Inventory Features

Local Inventory is a mobile-only feature that allows you to perform inventory checks on the go. You can walk around a location, checking what is physically present and what isn’t. 

An inventory check is limited to a single device. If two users perform checks on the same location, their progress won't be shared. You can add up to five recipients to receive the inventory check results via email.

If you need to pause your inventory check, you can resume it later. The app will store the inventory check status indefinitely, although the longer you wait, the more likely it is for some data to become outdated.

Smart Inventory

Overview

Smart Inventory simplifies inventory management by using Bluetooth-enabled gateways that constantly scan for tools with active tracking tags. This ensures your inventory data is always up-to-date and accurate with minimal effort.

How It Works

Gateways are key to this system. They continuously scan for tools with active tracking tags and send this information to ON!Track. Stationary gateways in locations like warehouses provide near real-time data by scanning continuously. Vehicle and heavy equipment gateways adjust their scanning based on whether the vehicle is moving, parked, or has the engine on or off.

Inventory Status

Just like with Local Inventory, tools are categorized as Expected, Found, Not Found or Unexpected based on what the gateways detect.

Reporting

You can generate and send inventory reports manually whenever you like. For a more hands-off approach, set up automatic reports to be sent at specified times to up to 10 recipients.

Smart Inventory Features

Smart Inventory uses Bluetooth-enabled scanning gateways, to continuously scan for tools with active tracking tags and report their status to ON!Track. The system classifies scanned tools into categories like Expected, Found, Not Found, and Unexpected.

The scanning and reporting behavior varies based on the power availability and connectivity of the gateways.

For example, Stationary Gateways scan continuously and provide near real-time data, while Vehicle and Heavy Equipment Gateways scan and upload data based on the vehicle’s movement and power state.

The inventory is generated based on the last updated scanning whenever you request to see it, including details on the inventory classifications and the source of the data (whether from a stationary gateway or a van). You can also see when the last known inventory was computed to determine if gateways are online or offline.

For sending reports, you can either do it manually or set up automated reports to be sent at specified times to up to 10 recipients.

Practical Usage

  1. Mobile Phone as a Gateway: Use the ON!Track app on your mobile phone to scan for nearby assets. This can be done manually or set to run in the background.
  2. Stationary Gateways: Install gateways in key locations like warehouses to automatically scan and update asset locations every three minutes.
  3. Van Gateways: Equip Vans with Van Gateways to ensure continuous tracking and location updates, even in transit.
  4. Telematics Devices: Equip heavy equipment with telematics devices to ensure continuous tracking and location updates, even in transit.

By using ON!Track Inventory and Smart Inventory features, managing and tracking your assets become efficient, accurate, and less dependent on manual processes. This automated system ensures you always have the latest information on where your tools are, helping you manage your assets more effectively.
