Introduction

In a typical business setting, tools and assets are often moved randomly between various locations such as warehouses, jobsite containers, jobsites, and service vans. This process is time-consuming and prone to errors, leading to inaccuracies in inventory management. The ON!Track system provides suggested transfers to help streamline this process, ensuring that inventory records are accurate and consistent with the physical locations.

How Suggested Transfers Work

The suggested transfer is a consolidated view of unexpected assets found at a gateway-enabled entity, such as a location or storage unit (e.g., container, van, or heavy equipment). In this view, the user can manually transfer the assets to the correct tracking entity or contact the responsible worker to understand discrepancies. 

The key difference between suggested and automated transfers is that suggested transfers require manual review and action from the user for each transfer, whereas automated transfers happen automatically based on system configurations (Company Settings), without any user input.

Viewing Suggested Transfers

  • Location: The suggested transfers can be viewed in a new tab under the alerts section called "Suggested Transfers."
  • Content: The list includes assets assigned to one location but detected by a different gateway-enabled location or storage asset. These require manual review and action from the user to either transfer the asset or investigate why it’s misplaced.
  • Details: Users can view detailed information about each asset and filter the list by location, responsible worker, or asset details.
  • Modification: The suggested transfer list is automatically generated and cannot be manually dismissed or deleted.
  • Transfer Actions: Users can quickly transfer assets to the correct location using a quick transfer option for single or multiple assets.

Transfer Completion

  • Alerts: Once a suggested transfer is completed, any previous unexpected asset removal alerts for that asset are closed.
  • Multiple Locations: If an asset is detected by multiple gateway-enabled locations, users can choose the destination location.
  • Transfer History: All completed suggested transfers are logged in the transfer history view.

Special Cases

  • Storage Assets: When a storage asset is transferred, all child assets are also transferred according to existing rules.
  • Loading Indicator: If the suggested transfer list takes time to load, a loading wheel indicates the process.
