Bulk closure of services

This feature allows you to complete the services in bulk, eliminating the need to check and process each item individually. This significantly saves time and reduces manual efforts.

Instructions

Follow below steps to complete the services in bulk:

  1. Login into your ON!Track web application, and click on Reports to open the template list.

  2. Select any of the My template options, then click on Edit option to open the edit window.

    Note: The template list contains two types of report templates: System templates (non-editable) and My templates (editable).

  3. Click Next to access the Select filters window.

  4. Now create a service report to export assets with upcoming or overdue services into an Excel file.
      • Set the filters as follows, then click Next:
        • Service Status: Upcoming and Overdue

        • Asset Status: Broken, In Repair, and Operational

      • Select the columns in this order, then click Next:
        1. Scan Code
        2. Inventory Number
        3. Serial Number
        4. Service Name

    Note: Use the drag-and-drop option to rearrange the order of the Selected columns.
    Note:
    You may select additional columns as well, but they should be placed after the ones mentioned above.

    • After setting the filters and selecting the desired columns, generate the report and download it.
  5. Download the Service Completion template in Excel format from the asset list view.

  6. Now, from the report you downloaded in the step 4, copy and paste the first four columns into the template.

  7. Enter the service details into the Excel file. Please ensure that the date format must match the column header exactly, including character style.

  8. Now, simply upload the file, and you're done. You've saved so much time!

Notes:

  • Once the step 8 is completed, the action cannot be undone, and the changes are permanent.
  • Only services that are upcoming or overdue can be completed using this method.
  • For recurring services, the next service date is always calculated from the completion date, even if that date is in the past.
  • This process does not apply to retired or disposed tools.
