Why does my asset count differ between the Asset tab and the Export/Report?

  • Updated

If you notice a difference between the number shown in your Asset tab and the number in your Asset Export or Report, this is expected behaviour, not an error. The Asset tab and Export use different counting methods.

  • The Asset tab (with no filter applied) counts both unique assets and Quantity (QTY) item types stored inside storage assets.
  • It does not count individual QTY allocations, only the unique types.

Example:

  • Open the Assets tab and make sure no filters are applied. Note the total number of items displayed (Count: 84)

  • Apply any Status filter. The count updates to show only the assets that match the selected status. (Count: 78)

  • Export the filtered results. Verify that the number of exported records matches the filtered asset count.  (Count: 78)

  • Compare the total item count with the filtered asset count. Any difference represents QTY items stored within storage assets.  (Count: 06)
  • Example:

    • Total items: 84
    • Filtered assets: 78
    • Difference: 06
The difference indicates the number of QTY items stored within storage assets, which are not included in the filtered asset count.

Note: To make your Asset tab count match your Export, apply any Status filter in the Asset tab. Even selecting all available statuses will exclude QTY items from the count.
