Smart Search

Asset search is now smarter, faster, and easier to use (web and mobile)

Overview:

The search feature in ON!Track helps you quickly find your tools and equipment. You can search by typing keywords or entering a code. 

The system shows the most relevant results first, which makes it easier to find what you need. Keeping your data consistent will also improve your search results.

Searching by Scancode or Serial Number:

Each asset has a unique scancode and often a serial number. You can scan the code or type the serial number in the search bar to find the exact item instantly.

This is the fastest way to search for a specific tool or equipment.– if you have the code or serial, enter it, and the exact asset will appear at the top of your results.

Intelligent Search for Names and Types (Fuzzy Search):

In practice, this means that even if an asset was entered as “Combi-Hammer” in the system, a search for “Combihammer” (without the hyphen) will still find the correct assets. 

Minor spelling errors or plural/singular differences will not prevent you from finding your tools. This means you can still find your tools even if the spelling is not exact.

Results Sorted by Relevance:

The system shows the most accurate results at the top. Exact matches appear first, followed by similar results. If there are many results, check the first few items as they are usually the closest match to what you searched.

For instance, if you search “CombiHammer TE 6”, any asset whose name or description exactly contains “TE 6” will show up before those that have only a close variant of that term. By prioritizing the most likely matches first, the system saves you time

In case special characters:

Ensuring Consistent Data for Better Search Results:

While the search feature is robust, the quality of your asset data plays an important role in search effectiveness. Inconsistent data entry (for example, some employees entering “Drill HD” while others enter “Heavy Duty Drill” for the same type of item) can lead to a situation where multiple near-matches appear. The search will still find them (thanks to fuzzy matching), but having standardized naming conventions will make your results even more accurate and easier to scan. 

We recommendUsing clear and consistent names for your tools makes search results easier to understand. Avoid using different names for the same type of item. When data is consistent, it is easier to find the right asset quickly.

For example, ensure that all combihammers are recorded with a consistent naming format. This kind of data cleanup and uniform entry will reduce confusion and improve the relevance of search results.
