How to manage equipment and material costs per jobsite

The calculation logic for quantity items closely follows the rules used for asset costs. This guarantees consistency and accuracy in how charges are calculated across various scenarios. Below are the specific rules that govern the calculation of quantity items.

  • Calculations start in April 2024; earlier activities are excluded.
  • The 30-minute rule does not apply to quantity items.
  • Transfers made within or before business hours will be charged to the new location for that day.
  • Transfers made outside business hours will trigger a charge for the new location only.
  • If an item is transferred multiple times in a single day, only the last location is charged.
  • Cancelled transfers are treated as standard back-transfers.
  • Any changes in cost location settings will automatically trigger a recalculation of charges.
  • Backdated transfers are considered; however, if the transfer date is earlier than the latest allocation activity, the transfer date is adjusted to match the activity date.

Example:

Let’s say today is March 7th. A user tries to transfer an item and sets the transfer date to February 27th (a past date). However, the last recorded activity for that item happened on March 1st. Since the transfer date (Feb 27) is before the last activity (March 1), the system automatically updates the transfer date to today’s date, March 7th.

 

Setting Up Cost Settings for Quantity Items

Manual Edit:

  • You can set a daily rate when adding or editing a quantity item.
  • This triggers automatic cost charges to the correct location based on usage or movement.

 

Mass Edit:

  • You can mass edit daily rates by clicking Edit in the quantity item cost list view.
  • This lets you update multiple items at once, saving time and effort.

 

List View

  • You can filter by the current month and the last 6 months.
  • A new month filter appears automatically on the 2nd of each month.
  • When a cost location is selected, the manager’s name shows at the top.
  • The list only includes items with daily costs applied.
  • All item statuses are included in the view.

Export

  • You can export up to 10,000 items at a time.
  • If more items are shown, use the cost location filter to reduce the number.

Report

  • You can download a file that shows all cost types, including assets, quantity items, and plug costs, for a complete view of expenses.
  • To see only quantity item costs, use the "Cost Category" filter and select "Quantity item cost".
  • To include only items that have been used, use the "Allocation Status" filter and select "Consumed".
