How to transfer assets or quantity Items via Smart Inventory on web platform?

  • Updated

Roles: Administrator & Employee | Platform: Web

ON!Track has 2 different ways of performing transfers. Those are:

1) Quick Transfer: This feature allows you to transfer individual assets swiftly to job sites, warehouses, storage assets, or workers. You can use Quick Transfer to immediately assign one asset or a quantity item to a responsible employee, a location, or a storage asset.

2) Transfer: This feature allows you to transfer multiple assets, especially to different job sites, containers, or workers. Compared to "Quick Transfer", you can also set a return date and add notes.

Good to Know:

  • You must have permission before moving assets or changing item quantities.
  • Note: Smart Inventory scans one gateway-enabled location or storage asset at a time.
  • When you transfer an item, its “Assigned to” value is updated.
  • You can transfer items to a location, storage asset, or worker.
  • The transfer cart can hold up to 500 items.

Instructions:

 For Assets:

  • Open the gateway-enabled location or storage asset in ON!Track Web.

  • Open the Smart Inventory section.

    • Expected = assigned there and expected there

    • Found = physically detected there

    • Not found = expected there but not detected

    • Unexpected = detected there but assigned somewhere else

  • Open the relevant asset list and select the asset or assets you want to move.

  • Choose Transfer or Add to Transfer Cart.

  • Open the Transfer Cart. Select a destination type: Location or Storage asset or Worker

  • Review the transfer details and submit the transfer.

For Quantity Items:

Quantity items are not handled through Smart Inventory in the same way as smart-tagged unique assets. Instead, use one of the supported transfer entry points below.

  • From the Quantity Item list view

  • From the Quantity Item allocation view

  • From a Storage Asset in the Assets list

  • From Location details (Web only)

  • From Worker details (Web only)

  • Open the quantity item or allocation you want to move.

  • Add the required quantity to the Transfer Card.

  • Choose the destination: Location or Storage Asset or Worker.

  • Set the item status:

    • Available

    • Reserved

    • Consumed

    • In repair

    • Lost or stolen

    • Disposed

  • Review the transfer and confirm it.
