How to handle kits in Automated Transfers

Imagine this: a set of tools is packed neatly into a kit and loaded into a van heading to a jobsite. Everything is organized, tagged, and ready to go. But once the van leaves the warehouse, the system suddenly shows the kit as moved, but not the tools inside it. The connection between the kit and its contents is lost. This creates confusion, extra work, and inaccurate inventory records.

The automated transfers feature has been enhanced to keep toolkits (called Kits) and their contents linked together, even when they move between locations like vans, heavy equipment, or storage areas.

What’s new?

A new storage asset type called a Kit has been introduced in ON!Track to improve automated transfers. When a Kit is assigned to a van, heavy equipment, storage asset, or location, it now keeps its structure. The tools inside remain linked to the Kit, preserving the parent-child relationship.

Previously, this connection could break during automated transfers, making tracking less accurate. Now, even if tools are scanned separately, ON!Track maintains the link between the Kit and its contents.

How it works

  • Automated transfers only happen if they’re turned on in the company settings by an ON!Track admin.
  • A transfer is triggered only after a 30‑minute delay, which helps prevent false transfers when a tool is simply passing through. 
  • Once the new tags enter the gateway’s range, the transfer is typically completed about 38 minutes later, provided all transfer conditions are met.
  • Transfer results can be seen in the Smart Inventory panel or on the Smart Inventory details page.

Why does it matter?

Tools often move between warehouses, vans, and jobsites. These locations can have gateways that scan and report the location of tagged tools. In the past, when Kits were moved, the system sometimes broke the link between the kit and the tools inside it. That’s no longer the case.

Now, even if tools are scanned separately from their kit, ON!Track understands they belong together and keeps the hierarchy intact.

Who this helps

This update is especially useful for:

  • Warehouse managers
  • Jobsite managers
  • Service van drivers

These users often move tools between warehouses, vans, and jobsites. With gateways installed, ON!Track can scan and track tools automatically, ensuring everything remains in the correct place and group.

Updating existing kits

If you already have kits set up as “Containers,” they’ll stay that way. To use the new Kit type:

  • You can edit them one by one.
  • Use a bulk update API (available through support, not in the app)

Known limitations

When a Kit with tools inside is assigned to a storage asset (like a van or container), and both the Kit and its contents move out of range, an unexpected asset removal alert is triggered only for the Kit, not for the tools inside it.
