How Kits work with Automated Transfer functionality

Imagine you're managing tools and equipment across multiple job sites. Some assets move in kits, some in containers, and others individually. Keeping track of all this manually can be time-consuming and error-prone.

That’s where automated inventory management in ON!Track comes in. When assets are tagged with ON!Track Smart Tags and be detected by gateways; their location updates automatically, saving time and improving accuracy.

But not all assets behave the same. Kits, containers, and individual items follow different rules based on how they’re tagged and their current status. 

This guide walks you through how automated transfers work in each case, so you know exactly what to expect and how to manage your assets efficiently.

How Automated Transfers work for Kits (4 key use cases):

  • When your Kit and its Child Assets are tagged with Smart Tags

    • If both the kit and its child assets are tagged and eligible for automated transfer:
      • The child assets stay linked to the kit.
      • The kit is assigned to the gateway-enabled location (like a van or container).
      • Both the kit and its children show the same location.
    • If only one part of the "kit" is being tracked and eligible for automated transfers
      • They appear in a “Suggested Transfer” list for manual review.
      • If transferred manually, the link to the kit is broken.

  • When your Kit is not tagged with Smart Tag but its Child Assets are

    • The child assets won’t transfer automatically.
    • They appear in a “Suggested Transfer” list for manual review.
    • If transferred manually, the link to the kit is broken.

  • When your Kit is in “In Transit” Status

    • Neither the kit nor its children will transfer automatically.
    • They also won’t appear in the suggested list.

  • When some of the Child Assets of your Kit are in “In Transit” Status

    • Those child assets and the kit won’t transfer or appear in suggestions.
    • Other eligible children will appear in the suggested list.

Asset transfer rules

  • When a container, van, heavy equipment, or location is tracked:
    • Tagged assets inside are automatically transferred to the new location based on standard rules.
    • If the unit is equipped with a gateway, the transfer is triggered automatically.
    • If the unit contains a kit, the transfer follows kit-specific rules.
