Limitations on bulk deletions and changes for quantity items and allocations

  • Updated

Bulk deletions and changes for quantity items and allocations have limits and special conditions; the specific limitations are listed below:

  • Archived locations:
    • Items in archived locations that are marked consumed, lost, or disposed cannot be changed back to available or any other status.

  • Bulk updates:
    • When you update many items at once, some may not change if they are in archived locations.

  • Zero-stock:
    • If an allocation shows zero stock, its status will not update.
    • Allocations showing zero quantity can be removed.

  • Bulk permission:
    • Bulk status updates need bulk-change permission; contact your admin if you cannot run them.
  • Select items:
    • Bulk actions (transfer, quick transfer, restock, status change) work only after you select one or more items.

  • Check first:
    • Check at an item’s location and quantity to avoid failed updates.
    • Check the update summary and fix any items that failed

Watch-outs for deleting quantity items:

  • Allocation dependencies:
    • You can only delete a quantity item after all its allocations show zero stock. Remove or set allocations to zero before deleting.

  • Main vs non-main allocations:
    • Main allocations with zero stock can be deleted.
    • Non-main allocations with zero stock may be removed automatically or hidden.

  • Hidden Allocations:
    • Allocations that reach zero stock may be hidden rather than deleted, especially if they are non-main allocations.
  • Refill flag:
    • If an allocation has automatic refill enabled, it stays visible at zero stock. Remove the refill flag to allow deletion.

  • Bulk deletion rules:
    • Bulk delete works only when every item meets the deletion rules (for example, all allocations are zero). If one item fails, the bulk action may not complete.

  • Error Handling:
    • Deleting items with unresolved allocations can cause errors. Read error messages and fix the cause before retrying

  • System Permissions:
    • Make sure you have the right permissions to delete items. Sometimes delete options are enabled only when multiple items are selected.
  • Verify after deletion:
    • After deletion, confirm the item and its allocations were removed or hidden as expected.
