Suggested Transfer Overview

  • Updated

Suggested Transfer is a feature in ON!Track that helps you quickly fix asset locations. It finds assets that are detected by a gateway at one location (such as a van, warehouse, container, or heavy equipment), but are still assigned in ON!Track to a different location.

ON!Track shows these assets in a Suggested Transfers tab under Alerts. From there, you can quickly accept the suggestion to update the asset’s location, instead of finding and updating each asset one by one.

Suggested Transfer is available to all gateway users, even if Automated Transfer is not enabled.

Note: Assets that are currently in transit (awaiting delivery confirmation) will not appear in the Suggested Transfers list until the transit is completed or recalled.

How suggested transfer helps your business

  • More accurate asset data with minimal extra effort: Location data stays aligned with reality without special clean‑up projects or heavy manual work.

  • Lower risk of long‑term data drift: Even if transfers are missed, mismatches are continuously surfaced and corrected before they grow into larger problems.

  • Better planning and accountability: Clear asset locations support better job planning, clearer responsibility, and improved operational decisions.

  • Reduced cost of inventory clean‑ups: Ongoing correction replaces large, time‑consuming reconciliation efforts, saving time and reducing downtime.

Key benefits

  • One central list of mismatched assets: All assets that are detected in one place but assigned to another are shown in a single view, removing the need to search manually.

  • Fast and simple correction: You can fix one or many location mismatches in a few clicks using quick transfer actions.

  • Guided decision when automation cannot decide: When multiple gateways see the same asset, Suggested Transfers helps you choose the correct location instead of guessing.

  • Automatic alert clean‑up: Accepting a suggested transfer automatically closes related UAR alerts, keeping the alerts list clean.

  • Controlled access: All users can view the Suggested Transfers list, but only users with Transfer Admin, Location Manager, or Responsible Worker permissions can accept a suggested transfer.

Use cases

  • Fixing tools that were borrowed and not recorded: After tools are shared between gateway-enabled locations but not transferred in ON!Track, you open Suggested Transfers to see where the tools are actually detected and accept the suggested location update.

  • Regular location clean‑up: Asset managers periodically review the Suggested Transfers list, filter by location or responsible person, and resolve multiple suggestions at once as part of routine maintenance.

  • Choosing between multiple possible locations: When an asset is detected by more than one gateway at the same time (for example, two vans parked close together), the system cannot decide automatically. Suggested Transfers lets the you choose the correct location.

  • Resolving Unexpected Asset Removal alerts: When an asset triggers a UAR alert and later appears at another location, users handle both in one step by accepting the suggested transfer, which also closes the alert.

  • Moving storage assets with their contents: When a container or kit appears in Suggested Transfers, accepting it moves the storage asset and all its child tools together, keeping sets consistent.

Summary

Suggested Transfers help you spot tools that are not where the system expects them to be.
When a gateway detects an asset at a different location than the one assigned in ON!Track, the system flags it as a suggested transfer.

These suggestions appear in the Suggested Transfers tab under Alerts, where authorized users can quickly review and confirm the correct location for one or multiple assets.

By regularly highlighting and fixing these mismatches, Suggested Transfers:

  • Keep asset locations accurate
  • Reduce manual clean‑up work
  • Cut down unnecessary UAR alerts
  • Support better planning and accountability

This works across vans, warehouses, containers, heavy equipment, and storage locations, including kits and their tools.
