Automated Transfers - Prerequisities

Licensing and Company Settings

These must be enabled at the company level.

  • ON!Track with Proactive Asset Tracking (PAT) i.e. Pro, Enterprise or Legacy license bundles.
  • Automated Transfers option must be turned ON in Company Settings.
    • If this setting is OFF, only Suggested Transfers are available.
  • Transfer delay configured (default is 30 minutes).
    • This delay acts as a buffer between an asset leaving one location and appearing at another, helping avoid incorrect or rapid transfers. 
    • The default value is configurable and can also 

Asset and Hardware Requirements

  • Supported only for BLE enabled assets, not for Quantity items, Nuron tools, IoT tools without an active Sensor Tag. 
  • Gateway‑enabled locations and storage assets must be tracked by a gateway device, for example:
    • Vans with vehicle gateways
    • Heavy equipment with Heavy Equipment gateways
    • Warehouses or containers with stationary gateways
  • Automated Transfers only work if both locations (or storage assets) have a gateway
  • Gateways must be installed and working
    • Gateways must be physically installed at the location.
    • They must be configured and regularly sending scan data to ON!Track so tracking stays up to date.

Conditions for an Automated Transfer to Trigger

Asset is tracked by only one gateway

  • The asset must be detected by exactly one gateway‑enabled location or storage asset that is different from its assigned location.
  • If the asset is detected by more than one gateway at the same time, Automated Transfer does not run and the asset appears in Suggested Transfers instead. Watch the video for a detailed walkthrough.

Asset arrives at a new gateway‑enabled location

  • Ttriggered when the asset is detected at a new gateway‑enabled location or storage asset.
  • The asset’s assigned location must be different from the location where it is currently detected.

Origin location no longer detects the asset

  • The asset must no longer be detected by the gateway at its original location.
  • If both the old and new gateways still see the asset, no transfer happens. This prevents back‑and‑forth transfers.

Asset is not already in transit

  • If the asset is already marked as in transit or pending transfer confirmation, no automated transfer is created.

Offline gateway protection

  • If a gateway goes offline, ON!Track does not move tools automatically.
  • A tool is moved only when:
    • Another gateway (new or existing) detects the asset, and
    • The asset is no longer seen at its original location

If the tool was detected at its original location just before the gateway went offline, ON!Track keeps the tool at that location.
This prevents incorrect tool movements caused by short network or power issues. 

Kits and storage assets move together

  • If a tagged container or toolkit is eligible for Automated Transfer, all its child assets move with it, keeping the structure intact.

Note: Once the automated transfer is completed successfully, any previous Unexpected Asset Removal (UAR) alerts on the asset should be closed.
