In ON!Track, inventory means comparing what is expected at a location with what is actually there. Gateway Inventory (Smart Inventory on mobile) performs this check automatically using gateways that scan nearby BLE-tagged assets and send the information to ON!Track.
This feature is useful in places such as warehouses, jobsites, vans, containers, and heavy equipment where a supported gateway is installed. Instead of manually scanning each item, the gateway checks for assets automatically, either continuously or at regular intervals. This is available for customers with ON!Track Pro, Enterprise or Legacy licenses only.
How gateway inventory helps your business
- Operational efficiency: Reduces the need for manual inventory checks, saving time and effort for teams in the field and at locations.
- Cost control: Helps avoid unnecessary rentals, duplicate purchases, or emergency replacements by improving visibility of available assets.
- Data accuracy: Makes it easier to identify gaps between system data and actual inventory, improving overall data reliability.
- Accountability: Allows teams to quickly identify missing or misplaced assets and take action before they impact work.
Benefits of gateway inventory
- Automatic inventory updates: Inventory data is created from gateway scans, so users do not need to manually count or scan each item.
- Quick and easy visibility: Users can check the inventory status anytime from ON!Track without visiting the location.
- Simple and clear categories: Inventory results are grouped into Expected, Found, Not Found, and Unexpected, making them easy to understand.
- Support for different setups: Works across various environments such as warehouses, vans, containers, and heavy equipment.
- Access to recent inventory data: Even if a gateway is offline, users can still view the last known inventory for reference
Use Cases for gateway Inventory
- Warehouse monitoring: Helps confirm whether tools and assets assigned to a warehouse are actually present and accounted for.
- Van readiness checks: Enables teams to verify that all necessary tools are in a van before starting a job, reducing delays.
- Heavy equipment tracking: Provides visibility into tools associated with equipment, ensuring nothing is left behind or misplaced.
- Storage and container validation: Compares expected items with what is physically detected in storage units or containers.
- Misplaced asset detection: Highlights items that are found in the wrong location, helping users correct assignments quickly.
How it works
Gateway Inventory uses two types of information:
- ON!Track assignment – where an asset is supposed to be.
- Gateway detection – what the gateway has recently scanned nearby.
ON!Track compares these two and sorts assets into simple categories.
Inventory Categories
- Expected – Assets that ON!Track shows should be at the location.
- Found – Assets detected by the gateway and confirmed to be there.
- Not Found – Assets that should be there but were not detected.
- Unexpected – Assets detected at the location but assigned somewhere else.
Summary
Gateway Inventory provides an automatic way to check inventory using gateways. It compares expected data with actual results and shows them in clear categories.
This helps reduce manual work, improve visibility, and quickly identify missing or misplaced assets.
