Asset groups help you organize your assets into categories and sub-categories so you can find, filter, and report on them more easily. For example, you can group assets by type (e.g., "Drills," "Grinders," "Saws") and create sub-groups within them (e.g., "Corded Drills," "Cordless Drills").
ON!Track supports up to three levels of asset group hierarchy:
Level 1 – Top-level group (e.g., "Power Tools")
Level 2 – Sub-group (e.g., "Drills")
Level 3 – Sub-sub-group (e.g., "Cordless Drills")
How to create an asset group
Go to Administration in the top navigation and select Asset -> Groups.
Click Add Group.
Enter a name for the group.
Click Add.
The new group appears at the top level (Level 1). You can then add sub-groups under it.
How to create a sub-group
Go to Administration -> Asset Groups and select the parent group you want to add a sub-group to.
Click Add Sub-Group.
Enter a name for the sub-group.
Click Add.
Note: You can nest groups up to three levels deep. If you already have a Level 3 group, you cannot add another level below it.
How to rename an asset group
Go to Administration -> Asset Groups and select the group you want to rename.
Click Edit, update the group name, and then click Save.
How to move an asset group under another group
You can reorganize your hierarchy by moving a group to become a subgroup of another group.
Go to Administration -> Asset Groups.
Select the group you want to move.
- After selecting the parent group, click "Move". The asset group will then be moved to the designated parent group.
Note: You can only move a group under another group if the target (parent) group has no assets directly assigned to it. If the target group already has assets, the move will not be allowed. This is by design: a group that contains assets directly cannot also serve as a parent group for sub-groups.
Workaround if the target group already has assets
If you need to move a group under a parent that currently has assets assigned:
Go to the Assets list.
Filter by the target group to see which assets are assigned to it.
Reassign those assets to a different group or to one of its existing sub-groups.
Once the target group has no assets directly assigned, you can move your group under it.
How to delete an asset group
Go to Administration -> Asset Groups.
Select the group you want to delete and click Delete.
The Asset group will be deleted from the hierarchy.
Note:
- A group can only be deleted when it has no assets assigned and no sub-groups.
- If even one asset is assigned to the group or any of its child groups, the Delete button remains disabled and cannot be used.
- If the group contains any sub-groups, the Delete button remains disabled.
- Before deleting a parent group or a child group, reassign or remove all assets from the group and its child groups.
- Also remove or reassign any sub-groups before attempting to delete the group.
- Once there are no assets and no sub-groups, the Delete button becomes available.
