What is a Quantity Item?
A Quantity Item is something you track by how many you have, not individually. Examples include:
- Boxes of nails.
- Packs of safety gloves.
- Bags of cement.
Instead of tracking each item one by one, ON!Track helps you manage them as a group. These items are handled through the web interface and mobile application and stored in the system’s database.
What is an Allocation?
An Allocation means assigning or moving quantity items to different places or people. For example:
- Sending 100 gloves to a jobsite
- Assigning 20 bags of cement to a team member.
- Moving items from one storage location to another.
ON!Track keeps track of these movements and updates your stock levels automatically.
Why It’s Useful
Allocations help you know:
- Where your items are.
- How many are available.
- What’s been used, lost, or sent for repair
Each allocation has a status, such as:
- Available
- Consumed
- In repair
- Lost or stolen
- Reserved
- Disposed
This helps you stay organized and avoid running out of supplies.
Setting Minimum and Maximum Stock Levels
You can set a minimum and maximum stock level for each item or location. This helps you stay in control of your inventory:
- Minimum level: The lowest amount you want to keep in stock. If it drops below this, you’ll get an alert (if you select to tick the stock alert option available) so you can restock before it runs out.
- Maximum level: The highest amount you want to keep.
- Example: Let’s say you sell nail boxes at the jobsite.
For jobsite, you set:- Minimum: 10 boxes
- Maximum: 25 boxes
If jobsite has only 10 boxes left, you’ll get a email on the lines of : “Stock is low,time to reorder!
