How quantity item allocations affect alerts using mobile application

Quantity item allocations help track stock levels and send alerts when quantities below set limits. This ensures the responsible employee is notified and can take action to keep operations running smoothly.

When a quantity item reaches its alert threshold, the responsible employee and/or users subscribed to stock alerts receives a notification.

To get stock-related alerts, users need to turn on the ‘Stock alerts’ option.
 

Type of quantity item alerts - stock alerts

  • Minimum Stock Alert

    • Alerts are triggered when the quantity falls below the minimum limit set for that allocation.
    • If this condition is met, alerts will appear immediately after the user takes an action.
       
  • Example: For this allocation, the stock quantity is set to 1000, and stock alerts are enabled. The minimum stock level is set to 550. As soon as the stock quantity drops below 550, a minimum stock alert will be triggered.

  • Zero stock alert

    • An alert is triggered when the quantity for that allocation reaches zero.
    • This helps notify the responsible employee that the item is completely out of stock. 
    • Note : 
      • If an allocation has a Zero Stock Alert and is not marked as a MAIN allocation, it will be hidden from the allocation list.
      • In such cases, the only way to access the allocation is through the Zero Stock Alert shown in the Alerts dashboard, using the Restock option.
      • Hidden allocations can also be accessed in the Ql’s allocation list by selecting e.g. "Consumed", etc. in the status filter.
      • If the allocation is marked as MAIN, it will remain visible in the allocation list and can be accessed directly.
    •  Alerts are triggered immediately after the user takes an action, if the condition is met. 
    • Example: For this allocation, the stock quantity is set to 1000 and stock alerts are enabled. When the stock quantity reaches zero, a zero stock alert will be triggered.




You can set Stock Alert preferences for each allocation using the following access points:

For Allocations of Quantity Items during Add Quantity Item workflow: 

  • Click on adding a quantity item and fill in the required details.






  • Click on the add allocation to add the allocation.

  • Click on the add allocation. Add all the required details and click on add and to get stock-related alerts, users need to turn on the ‘Stock alerts’ option.


For Allocations of Quantity Items during Edit Quantity Item workflow 

  • Click on the allocation of the required quantity item. Select the allocation and click on edit. Edit the required details and to get stock-related alerts, users need to turn on the ‘Stock alerts’ option.
