Unexpected asset removal (UAR) alerts functionality overview

  • Updated

Imagine this happens:
A van leaves the warehouse in the morning, but one tool that was supposed to be in the van is accidentally left behind. No transfer was logged, and no one notices.
ON!Track detects that the van gateway has moved away without the tool, while the warehouse gateway still sees it.
An Unexpected Asset Removal alert is sent immediately to the manager.
The tool is found and secured before it gets lost, exactly what Unexpected Asset Removal (UAR) is designed for: alerting you when a smart‑tagged asset leaves or doesn’t leave a gateway area without a proper transfer.

About UAR: Unexpected Asset Removal (UAR) alerts notify an asset owner when a smart‑tagged tool or equipment leaves the Bluetooth range of its assigned gateway (such as a warehouse, van, container, or heavy equipment) without a transfer being triggered.

To prevent too many alerts during normal work activities, admins can set specific days and times when UAR alerts are turned off for each gateway type.

How unexpected asset removal alerts functionality helps your business

  • Reduced losses from theft and unauthorised removals: Suspicious asset removals are detected early, increasing the chance of recovery and lowering replacement and insurance costs.

  • Protection without extra staffing: Warehouses, vans, containers, and equipment are monitored after hours without needing guards or on‑site staff.

  • Focused response instead of alert noise: Because alerts can be limited to meaningful times, staff take alerts seriously and act on them instead of ignoring them.

  • Stronger audit and compliance support: Each alert shows which asset moved and from where, creating a clear record for audits, investigations, or insurance claims.

  • Higher trust in digital asset tracking: The system not only tracks assets, but also warns when something unusual happens, making ON!Track a more reliable control system.

Key Benefits

  • Immediate visibility of unexpected removals: Users are alerted when a gateway‑tracked asset leaves a gateway location without a proper transfer.

  • Alert timing that matches real work patterns: Admins can define quiet times so alerts only appear when they are actually useful.

  • Fast reaction window: Alerts arrive shortly after an asset disappears, while it is likely still nearby.

  • Clear information in every alert: Each alert clearly shows the asset and location involved, so users know exactly where to start checking.

  • Right people, right channel: Alerts follow existing ON!Track permissions and channels (in‑app, email), so only relevant users are notified.

Use Cases

  • Night‑time warehouse security: Alerts are active outside working hours, notifying managers if high‑value tools leave the warehouse overnight.

  • Protecting containers on remote jobsites: Alerts warn site managers if assets leave unattended containers after hours.

  • Securing vans parked at home or in public: Vans trigger alerts at night or on weekends if tools leave without a recorded transfer.

  • Reducing alerts during planned movement: Businesses suppress alerts during busy work hours and rely on UAR alerts mainly for security outside planned activity.

  • Post‑incident review: Admins review past alerts to understand what happened and improve alert settings or security measures.

Prerequisites

  • The asset has a smart tag.
  • The asset is assigned to a gateway-enabled entity (warehouse, van, container, heavy equipment).
  •  Admin selects alert recipients under:
    • Administration → Alert settings → Gateway alerts → Unexpected asset removal alerts.

How It Works

  • Admin configures suppression windows

    • In Company settings → Asset tracking → Unexpected asset removal (UAR) alert configurations, an admin sets:
      • Days of the week
      • Start and end times
      • For each gateway type

During this window, UAR alerts are not created.

  • Gateway tracking

    • The gateway scans BLE tags.
    • If an asset that was previously detected is not seen for the “gone interval”, the system marks it as a possible removal.

  • Transfer check

    • If the system finds a manual or automated transfer for that asset, it does not create a UAR alert.

  • Time window decision

    • The system checks if alerts are allowed at that time for that gateway type.
    • If alerts are suppressed, no alert is sent.
    • If alerts are allowed, ON!Track generates the UAR alert and sends notifications.

  • Important limitation

    • If an asset leaves during a suppression window and remains missing afterward, the system will not generate a UAR alert later for that event.

Summary

Unexpected Asset Removal (UAR) alerts notify you when a tagged tool leaves or does not leave a location—such as a warehouse, vehicle, container, or machine, without being properly transferred.

This helps you act quickly and avoid losing equipment. Administrators can control when these alerts are active so users are only notified about unusual or suspicious movements.

As a result, you can spot potential theft or forgotten tools early, protect assets outside working hours, and keep better records with little extra effort.
