Does ON!Track store calculated cost data in the system?

Customer Case:
The customer wants to understand whether ON!Track stores calculated asset cost values in the database or whether the costs are calculated dynamically when reports or asset details are viewed. This question commonly arises when customers compare costs across reports or want to understand how asset cost values are generated.
How does ON!Track work?
ON!Track does not store calculated asset cost values in the system.
Instead, ON!Track stores the information required to calculate the cost, such as:
  • Asset movement data (Date Arrived and Date Left)
  • Asset Rate Settings
  • Location Cost Settings
Whenever a user views an Asset Cost Report or a cost-related field, ON!Track performs the calculation on the fly using the available data.
The calculation process works as follows:

Step 1: Determine the Workdays on Site

ON!Track uses the asset's:
  • Date Arrived (Transfer In Date)
  • Date Left (Transfer Out Date)
to determine how long the asset remained at the jobsite.
The system then applies the location's Cost Settings, including:
  • Working days
  • Business hours
  • Weekends
  • Holidays
Any configured non-working days, such as weekends or holidays, are excluded from the calculation.
This results in the final Workdays on Site value.

Step 2: Retrieve the Asset Rate

Each asset has a configured Rate Setting, for example:
  • Daily Rate
  • Weekly Rate
  • Monthly Rate
  • Time-Based Rate
ON!Track retrieves the rate assigned to the asset.

Step 3: Calculate the Asset Cost

ON!Track combines:
  • The calculated Workdays on Site
  • The configured Rate Setting
to calculate the asset cost.
For a daily rate, the calculation is typically:
Asset Cost = Workdays on Site × Daily Rate
For time-based rates, ON!Track applies the configured monthly, weekly, and daily charging rules based on the calculated workdays.

Summary

ON!Track does not save pre-calculated cost values. Instead, it stores the underlying movement, rate, and cost-setting information and performs the cost calculation dynamically whenever the data is requested. This ensures that the displayed asset cost always reflects the latest asset movements, rate settings, and cost-setting configurations.
