Customer Case:
The customer has deleted or archived a location but still sees that location appearing in the Quantity Item Cost Report. They want to understand why the location continues to be displayed and whether this indicates an issue with the report.
How does ON!Track work?
Quantity Item Cost Reports are based on the historical charge records associated with assets and locations.
When a location is archived or deleted, ON!Track does not remove the historical cost and charge records that were created while the location was active. These records are retained to preserve the accuracy of past cost calculations, reporting, and audit trails.
As a result, an archived or deleted location may still appear in the Quantity Item Cost Report if:
- Assets were previously charged at that location.
- Historical charge entries exist for that location.
- The report includes data from periods when the location was active.
This behavior is expected because ON!Track preserves historical asset cost information even after a location is no longer active. Removing those records would affect the accuracy of historical reports and previously calculated costs.
Therefore, the presence of a deleted or archived location in the Quantity Item Cost Report does not necessarily mean the location is still active. It simply indicates that historical asset cost data exists for that location.
