In a typical business setting, tools and assets are often moved randomly between various locations such as warehouses, jobsite containers, jobsites, and service vans.
This process is time-consuming and prone to errors, leading to inaccuracies in inventory management. The ON!Track system provides suggested transfers to help streamline this process, ensuring that inventory records are accurate and consistent with the physical locations.
This feature is available only in the Pro/Enterprise and Legacy license bundles.
How it works
- Suggested Transfer shows a single list of assets that are physically detected at a gateway‑enabled place, such as a location, container, van, or heavy equipment, but are assigned to a different place in ON!Track.
- From this list, users can manually transfer the asset to the correct location.
- If something looks unclear, users can contact the responsible worker to understand why the asset is in the wrong place.

How to navigate
The suggested transfers can be viewed in a new tab under the alerts section called "Suggested Transfers."
What the suggested transfer list shows
- The list includes assets assigned to one location but detected by a different gateway-enabled location or storage asset.
- These require manual review and action from the user to either transfer the asset or investigate why it’s misplaced.

New tags appear in Suggested Transfer about 10 minutes after entering the gateway range.
What happens once the transfer is completed
- Alerts: Once a suggested transfer is completed, any previous unexpected asset removal alerts for that asset are closed.
- Multiple Locations: If an asset is detected by multiple gateway-enabled locations, users can choose the destination location.
- Transfer History: All completed suggested transfers are logged in the transfer history view.
Note
- Quick action (Accept Suggested transfer) if performed on an asset in suggested list will complete the transfer even if Confirmed delivery (if enabled by the tenant) is applicable for that tenant. In other words, an asset in suggested list, if quick action 'Accept Suggested Transfer' workflow is selected, the asset will be transferred and will not require 'confirm transfer.
- For every GW-enabled entity (which is not the same as the assigned to for that asset) tracking the asset, that many entries for the asset can be found in the Suggested transfer list view.
- You can view detailed information about each asset and filter the list by location, responsible worker, or asset details.
- The suggested transfer list is automatically generated and cannot be manually dismissed or deleted.
- Users can quickly transfer assets to the correct location using a quick transfer option for single or multiple assets.
- Suggested transfer list would not include assets that are in transit state
Special Cases
- Storage Assets: When a storage asset is transferred, all child assets are also transferred according to existing rules.
- Loading Indicator: If the suggested transfer list takes time to load, a loading wheel indicates the process.
