How automated transfers work for kits (with common use cases)

Overview

When assets are tagged with ON!Track Smart Tags and detected by gateways, ON!Track can automatically update their location — saving time and reducing manual errors. But kits add complexity: a kit is a parent asset containing child assets, and the system needs to preserve that parent-child relationship during transfers.

This guide explains how automated transfers handle kits and their child assets, so you know exactly what to expect.

Prerequisites

Before automated transfers can work, the following must be in place:

  • Automated Transfers must be enabled by your ON!Track administrator in Company Settings.

  • Only ON!Track Smart Tagged (active tagged) assets are eligible. Quantity items, Nuron tools, and any IoT-enabled tools without an active tag are not eligible.

  • The asset must be tracked by a gateway-enabled entity (Location, Container, Van, or Heavy Equipment).

  • The asset must be tracked by only one gateway-enabled entity that is different from its current "Assigned To." If an asset is tracked by two or more gateways simultaneously, automated transfer will not be initiated — a Suggested Transfer is generated instead.

  • There is a default delay of 30 minutes — once an asset becomes eligible for automated transfer, the system waits 30 minutes and re-checks eligibility before executing the transfer.
     

How Automated Transfers work for Kits (4 key use cases):

1. When your Kit and its Child Assets are tagged with Smart Tags

  • When the kit is eligible for automated transfer (it is Smart Tagged, tracked by only one new gateway, not in "In Transit" or "In Confirmation" status, and none of its child assets are in "In Transit" or "In Confirmation" status):

    • The kit is transferred to the new gateway-enabled entity (e.g., a Van).

    • The child assets stay assigned to the kit — the hierarchy is preserved.

    • Both the kit and its child assets appear in the correct inventory status at the new location.

  • When a child asset is separated from the kit (e.g., a tool is physically left behind while the kit moves to a Van):

    • The kit is transferred to the Van as normal.

    • The separated child asset appears in a Suggested Transfer list for manual review.

    • Important: If you confirm the Suggested Transfer for that child asset, the parent-child link to the kit will be broken.

2. When your Kit is not tagged with Smart Tag but its Child Assets are

  • The kit itself cannot be automatically transferred because it has no active tag.

  • The child assets will not be automatically transferred either — they appear in the Suggested Transfer list for manual review.

  • Important: If you confirm the Suggested Transfer, the child assets are transferred individually and the parent-child link to the kit is broken.  

3. When your Kit is in “In Transit” Status

  • Neither the kit nor any of its child assets will be automatically transferred.

  • No Suggested Transfers will be generated for the kit or its children.

  • The system preserves the hierarchy until the transit or confirmation process completes.
     

4. When some of the Child Assets of your Kit are in “In Transit” Status

  • When one or more child assets are in "In Transit" or "In Confirmation" status but the kit itself is not:

  • The kit will not be automatically transferred.

  • The child assets that are in transit will not be transferred or appear in any transfer list.

  • The other eligible child assets (those not in transit) will appear in the Suggested Transfer list for manual review.

  • Important: If you confirm the Suggested Transfer for those eligible children, the parent-child link to the kit will be broken.

General Automated Transfer Rules

For individual assets (not in a kit) inside a Container, Van, Heavy Equipment, or Location:

  • Smart Tagged assets are automatically transferred when they are detected by a new gateway-enabled entity and are no longer tracked by the origin gateway.

  • Non-tagged assets are not tracked and cannot be transferred automatically.

  • If an asset is tracked by two or more gateway-enabled entities at the same time, automated transfer is not initiated. A Suggested Transfer is generated instead.

  • An asset that is already in "In Transit" status will not be automatically transferred.

Where to See Results

After an automated transfer completes:

  • The Smart Inventory panel on the gateway-enabled entity shows the updated inventory counts.

  • The Smart Inventory details page shows the full list of assets, including child assets inside kits, with their correct inventory statuses.

  • The Transfer History log records the transfer with the method noted as "Automated Transfer."
